Dear Society

TSM – SOCIETY MANAGER

SCOPE OF WORK

  • To hold the AGM, SGM, and MC meeting according to the agenda.
     Preparation of meeting agenda, the creation of minutes and the circulation among society members
  • To oversee all maintenance-related tasks, including:
  •  Upkeep of the water pump, lighting, water tank, CCTV, intercom, fire       extinguisher, etc.
  • Manage security guards, gardeners, sweepers, and other employees.
  • Updating statutory registers * Maintaining and updating the property, nomination, shares, and I.J.
  • Document preparation for the apartment transfer
  • Making the NOC, notices, and communication letter with the MC’s help.
  • To answer questions from members and resolve them amicably. Once MC has been consulted, resolve it.
  • To prepare, release, and retain appropriate evidence by keeping records of staff, utility, and other payments.
  • Working along with an accountant to complete year-by-year accounting and give the auditor the data for the society’s audit.

TSM – ELECTION / RETURNING OFFICER

SCOPE OF WORK

  • Organizing fair elections for the Managing Committee
  • informing members of the election dates, time, and location
  • receiving and reviewing candidate nomination papers
  • conducting polling, making sure that voting is fair and transparent
  • tallying votes and announcing the results
  • keeping election-related records, such as nomination papers, electoral rolls, and voting records. 
  • The returning officer or election official will announce the results.

TSM – AUDITOR (HOUSING/COMMERCIAL/CREDIT SOC.)

SCOPE OF WORK

  • Performs yearly audits of the society’s financial statements, including the balance sheet, income and expenditure account, and receipts and payments account;
  •  Looks over the society’s financial records, such as bank statements, vouchers, and invoices; confirms the society’s assets and liabilities, such as loans, investments, and fixed assets;
  • Notifies the Managing Committee and the Registrar of Co-operative Societies of any anomalies, inconsistencies, or mismanagement of funds; and provides audit reports to the Dy. Registrar.

TSM – ACCOUNT SERVICE
(COMPUTERIZED BILLING & ACCOUNTING SYSTEM)

SCOPE OF WORK

  • Maintenance bills in accordance with the bye-laws and the frequency decided upon by the AGM (monthly or quarterly)
  • Creating payment vouchers and receipts
  • Reconciliation between cash and banks
  • Reports by member, other ledger, and bill head.
  • A list of dues and a monthly report on income and expenses.
  • Notice to defaulting members at the predetermined intervals
  • Submission of the society’s appointed statutory auditor’s accounts.
  • Submission of the Audit Rectification Report to the Co-operative Society Registrar in form “O.”
  • Payment to creditors.
  • Payment of all municipal taxes, water, and electricity bills.
  • Keep track of collections
  • Manage investments, and Renew investments when they mature.
  • Every financial activity

TSM – TRAINING FOR SOCEITY MEMBERS

SCOPE OF WORK

  • Educates members about their rights, roles, and responsibilities
  • Helps members comprehend the laws and regulations of the Co-operative Housing Society
  • Develops communication, dispute resolution, and decision-making skills
  • Encourages a sense of community and teamwork among members

TSM – DOCUMENT MANAGEMENT

SCOPE OF WORK

  • Arrange all papers pertaining to society /property in order.
  • Creating an Annexure with a list of available and missing documents (if any)
  • Scanning current and old documents to maintain storage in a computer database
  • Destroy extremely old materials with committee members’ consent.
    Assistance will raise understanding about document management.
  • Assisting in the arrangement of required documents for conveyance, redevelopment, and recovery of dues.

TSM – REGISTER WRITING

Update statutory registers, such as the I, J. Shares, Property & Nomination Register, among others.

TSM – REGISTRATION OF HOUSING SOCIETY

SCOPE OF WORK 

Non-register Co-operative housing society will convert into Registered

It will become a registered cooperative housing society.

  • Prepare the paperwork for the society’s registration.
  • Complete the registration process and carry it out until the society receive certificate of registration.

TSM – GST & TDS FILLING

SCOPE OF WORK

  • Filing GST returns on time helps you avoid interest, penalties, and fines.
  • Compliance with the Income-tax Act of 1961 and the Income Tax Rules 1962 is guaranteed by filing TDS returns.
  • Tax credits for taxes deducted at source can be claimed by the deducted upon filing TDS. Penalties, fines, and interest for non-compliance or late filing can be avoided by filing TDS forms on time.
